Hotel inventory management is the process of controlling how many rooms of each type are available for sale on each channel on each date. It is managed through the PMS (which holds the master inventory) and the channel manager (which distributes it to OTAs). Effective inventory management maximises occupancy while preventing overbookings.
What Is Hotel Inventory?
In hotel terms, inventory refers to the available rooms — specifically, how many rooms of each type are available for sale on each date. A 20-room hotel with 5 standard rooms, 10 deluxe rooms and 5 suites has three inventory categories, each with its own availability count for each date.
Inventory management is the process of deciding how many rooms to make available on each channel, at what rates and with what restrictions — and keeping that information accurate across all channels in real time.
The PMS as the Inventory Source of Truth
The PMS holds the master inventory. Every booking — from any source — reduces the PMS inventory. The channel manager reads from this inventory and distributes it to OTAs. This single source of truth is what prevents overbookings.
When a room is booked on Booking.com, the channel manager receives the booking, creates a reservation in the PMS and immediately reduces the available inventory. The updated inventory is then pushed to all other channels. See: How Does a Hotel Channel Manager Work?
Pooled vs Allocated Inventory
There are two approaches to distributing inventory across channels:
Pooled Inventory
All channels draw from the same pool of available rooms. If you have 10 deluxe rooms available, all 10 are available on every channel simultaneously. The first channel to receive a booking gets the room, and availability is reduced across all channels immediately. This is the standard approach for modern channel managers and maximises occupancy.
Allocated Inventory
Each channel is given a fixed allocation of rooms. If you allocate 3 deluxe rooms to Booking.com and 3 to Expedia, you can only sell 3 on each platform regardless of demand. This approach is outdated and leads to unsold rooms when one channel's allocation is exhausted while another has rooms remaining.
Inventory Restrictions
Inventory restrictions control when and how rooms can be booked. They are set in the PMS or channel manager and pushed to all channels:
- Stop-sell — close availability on a date entirely (used when the hotel is full or needs to hold rooms)
- Minimum stay — require a minimum number of nights (prevents short stays during peak periods that would block longer, more profitable bookings)
- Closed to arrival — prevent new bookings that check in on a specific date (used to manage arrivals on busy days)
- Out of order — remove a room from inventory temporarily for maintenance
Overbooking Strategy
Some hotels deliberately oversell by a small margin — accepting more bookings than available rooms — based on historical cancellation and no-show rates. This is a revenue management technique used by airlines and large hotels to maximise occupancy.
For independent hotels, deliberate overbooking carries significant risk. A single overbooking incident can generate a negative review that affects bookings for months. Most independent hotels are better served by accurate inventory management and a small buffer of unsold rooms for operational flexibility.
Seasonal Inventory Strategy
During peak periods, inventory management becomes more strategic:
- Apply minimum stay restrictions to prevent short stays that block longer bookings
- Close low-margin channels and focus on higher-value bookings
- Increase rates to reflect high demand
- Hold back a small number of rooms for walk-ins and upgrades
During low periods, the strategy reverses: open all channels, reduce restrictions, offer promotions and last-minute rates to fill rooms. See: Seasonal Hotel Pricing.
Frontdeskey Inventory Management
Frontdeskey's integrated PMS and channel manager use pooled inventory to keep availability accurate across all channels automatically — maximising occupancy while eliminating overbooking risk.
